Files, such as PDFs or other downloadable resources, should be carefully reviewed to ensure they are current, necessary, and appropriately formatted. Content stewards do not have permission to upload files to the media library.

  1. Review Necessity  
  • Determine if the file is truly needed or if the information could be better presented as a web page.  
  • Pages are generally preferred over PDFs as they are more accessible, easier to update, and load faster.  
  1. Accessibility Standards  
  • PDFs and other documents must meet accessibility guidelines, including proper tagging for screen readers.

  1. File Hosting and Links  
  • Ensure all files are hosted on approved servers, not external platforms like Box, Dropbox, or Google Drive.  
  • Verify that file links are functional, descriptive, and point to the correct resource.  
  1. Current and Relevant Content  
  • Review all files to confirm they are up-to-date and relevant to the page content.  
  • Remove outdated files.  
  1. Requesting Assistance  
  • Work with your MarCom liaison for uploading non-image files or converting files into web pages when appropriate. Submit requests via the MarCom Help Portal.
