In higher education, things happen cyclically. Each year, there are admissions and financial aid deadlines, revisions to the academic catalog, milestone events like commencement, and other annual updates and occurrences. Additionally, each semester also has its own routine, from add/drop dates to final exams. 


As faculty and staff members, we become familiar with these cycles and get into a groove with our individual tasks and responsibilities. But what does this all mean for the college website? 



Establishing a Review Cycle

Content stewards should confirm the best content review cycle for each page they manage: 


  • 3 months - best for high-profile pages with content that changes often (January, April, July, October)

  • 6 months - best for content that changes each semester (November, May)

  • 12 months - best for pages with mostly evergreen content (June)




As you review each page, consider how often you might have updates to the page content. For example, pages with stats, salary data, rankings, course titles/numbers, and contact information may benefit from a review once per semester. Whereas pages that list deadlines, such as those related to admissions and financial aid, may need to be reviewed once a quarter.

Content Review Cycle in Action: Staying Current and Compliant 

Setting the review cycle is important because it sets up one of the most helpful parts of our governance tool: automatic reminders! While this post is mostly about how to choose your timeline, we thought we’d also share what happens next. Based on the selected cycle, you will get a series of email notifications when it’s time to perform the next review.



Timeline Changes 

If you feel that a page needs to be reviewed more frequently or, alternatively, doesn’t need as much attention as you first thought, you can reach out to your assigned MarCom liaison.  



  1. On-Page Content Review Tasks

The tasks listed under this section help ensure each page is accurate and up to standards.

These tasks should be completed as part of the established review cycle determined for your page. The full list of the On-Page Content Review Tasks and how to complete them can be found in the Review Checklist.

  • Mark the checkbox next to each task to keep track of what you’ve completed.  
    • Any tasks that you have marked as completed will auto-save, allowing you to return and continue with any incomplete tasks.



  1. Review Confirmation

Confirming that you’ve completed the page review ensures your work is recorded in the system and updates the page's governance status as being in compliance. Once all tasks are completed and checked off, a “Review Confirmation” section will appear. You have two options:

  1. Complete Review  
  2. Request Changes


Confirm Review Completion

  1. Check the box that says “I confirm that I have completed the page review tasks for this review cycle.”
  2. Next, click the “Confirm Page Review” button.
  3. Save Your Changes 
    1. In the Publish widget on the Page Edit screen, click the Update button to save your work and finalize the review.


Request Changes

If any tasks remain incomplete, require support, or if changes need to be made, submit a support request before confirming your review. Document these issues in the Page Notes section for reference. Ensure the next review is scheduled according to the assigned cadence for this page.


Click the Request Changes to Page Governance settings link at the bottom of the section.
