Key Plugin Features

Audience and Purpose  

It allows us to describe the purpose and set the primary audience for each page, ensuring the content aligns with user needs.

Identifies Roles & Responsibilities 

For accountability, a designated staff member is assigned as a content steward. This person is responsible for reviewing and updating each page. Content stewards can check the status of all pages assigned to them in the website's dashboard.

Provides a Task Checklist  

Each page includes a list of tasks, such as checking for broken links, updating photos, and confirming that data points are current. This helps stewards know exactly what to focus on and stay organized during their reviews.

Tracks Compliance  

There are three types of compliance statuses for a single page:

  • In compliance — this page has been reviewed within the time allotted
  • Due for review — the page is within 60 days of the compliance due date
  • Out of compliance — the page is past the compliance due date and requires immediate attention

Sets Review Cycle  

A review cycle is set for each page based on the type of content, its importance, and how often it changes. This regular attention helps keep content fresh and accurate.

Promotes Collaboration  

The plug-in helps content stewards, secondary contacts, and MarCom liaisons easily communicate to update content and follow governance guidelines.

Provides Reports and Metrics  

These reports help MarCom and College leadership track progress and spot areas that need attention.

What the Plugin Does Not Do 

Does Not Grant Content Editing Permissions  

The plugin doesn’t control who can edit content. Permissions must be set separately in WordPress for who can edit content or governance settings.

Does Not Identify Page Issues  

The tool doesn’t identify specific issues on a page. Content stewards are responsible for reviewing and updating content. Use complementary tools like DubBot to identify issues such as accessibility errors or broken links.

Does Not Replace Manual Page Reviews 

Although the tool sends reminders and tracks tasks, human judgment is required to review and update content thoroughly.
